What this site is for

The pages here describe who we are, what membership includes, what we are organising, and which companies partner with the association. They are published for general information.

Not professional advice

Nothing on this site — including anything in our news posts, legislative summaries, seminar material or newsletters — is legal, tax, insurance, financial or regulatory compliance advice, and it must not be relied on as such. Partners and their offers

Companies listed in our partner directory offer rates and services to ROMOTANA members. A listing is not an endorsement, a recommendation or a warranty of any kind. The association does not guarantee any partner's products, services, pricing, availability or conduct.

Members contract directly with partners. Any agreement, quote, invoice or dispute is between the member and that company, and the association is not a party to it. Please still tell us if a partner has treated you badly — it matters to who stays on the list.

Membership

Submitting an application through this site does not by itself create a membership. All applications are subject to review and approval by the association, which may decline an application at its discretion. Membership benefits, dues and terms may change; current members will be told when they do.

Membership itself is governed by the Membership Agreement, which every member signs. Where these terms and that agreement say different things about membership, dues or payments, the Membership Agreement is the one that applies.

Dues and payments

Membership is paid. Dues recur — monthly or yearly, at the level you hold — until you cancel, and what you authorize when you sign the Membership Agreement is the amount and the interval shown on your account.

You can stop a recurring payment from your member account. Where nothing else is running on your membership it stops at once; where something is — an unpaid invoice, a refund in progress, or a service that depends on your membership — it goes to the office first and somebody speaks to you before it stops.

If a charge looks wrong, please tell us before you tell your bank. There is a button beside every payment on your account; you get a reference number and can follow what happens to it. We answer within ten business days and refund what we should not have taken. Nothing in these terms limits any right you have under the law or under your bank's own rules.

Your member account

A member account is yours. Signing in gives you your invoices, your payments, your receipts, the services you hold and the agreement you signed.

When you sign the Membership Agreement the association records the date and time, the internet address and browser you signed from, and the exact wording as it read at that moment, so that both of us can say later what was agreed. You can open, print or download your copy at any time.

Services that come with membership

Some membership levels include services that run in their own applications — FleetCare PRO, for equipment records, is the first of them. You reach them from your member account, and what you may do in one is decided by your membership here. That is checked each time you use the service, not once at the door.

Where a service is metered, your level includes a number of records at no extra cost and anything beyond that is charged per record per month. The service shows you your count, what is included and the price before you add one, and asks you to confirm the charge at the moment you go past the included number. Those charges are invoiced separately — your membership price does not change, and a record you remove stops being charged from that day.

If your membership ends, the records in those services do not disappear. For six months afterwards the service becomes read-only: you can sign in, read everything, print it, run reports and download your documents, but nothing can be added or changed. This is deliberate — the records are yours, and some of them are records you may be required to produce after a membership has ended.

After those six months the service is closed and sign-in stops. Your records are not deleted at that point; they are kept, and you can ask the office for a copy. If you rejoin at any time, everything comes back to the same account — nothing has to be restored.

Records in those services are kept for two years from the day access changed, and are then deleted. Two years covers the retention the federal regulations ask for and a claim or audit arriving afterwards. The association does not keep them indefinitely — holding records longer than there is a reason to is a risk to you as much as to us.

While payments on your account are held with the office, those services are read-only on the same terms: everything stays readable, printable and downloadable, and nothing changes until the hold is lifted.

Events

Event details — date, time, venue, speakers and price — are correct as published and may change. Registering through this site reserves a place; where an event is ticketed, a place is confirmed once it is paid for — online from the invoice on your account, or with the office.

Links to other sites

Some pages link to websites the association does not run — partners, government bodies, media and others. Those sites are outside our control. We are not responsible for their content, their accuracy or their privacy practices, and a link is not an endorsement.

Accuracy and availability

We take care to keep this site accurate and up to date, but we do not warrant that it is free of errors or that it will always be available. The association may change, suspend or withdraw any part of the site at any time.

Using the site

Please do not:

• submit false information, or someone else's details, through our forms;
• use the site's forms or email addresses to send unsolicited commercial messages;
• attempt to gain access to the administrative area or to any data that is not yours;
• scrape, overload or otherwise interfere with the operation of the site.

Our content

The text, images and the ROMOTANA name and logo on this site belong to the association or to the people who licensed them to us. You are welcome to quote a passage with attribution and to link to any page; please ask before reproducing a page or using our logo.

Privacy

Our privacy notice explains what we collect through this site and what we do with it. It forms part of these terms.

Changes to these terms

The association may update this site and these terms. The current version is always the one published here, dated 19 September 2026. Continuing to use the site after a change means you accept the updated terms.
